Inventory Setup

Here we can manage inventory.


Key features include:

1. Items

  • In which we can click on (create item) button.

  • Firstly write the item code, item name, item type, item UOM, and item category.

  • In this we can see the item types like services and goods.

  • In this we can check mark the sales and purchase Colum.

  • All this information is filled in under the "General Information" section.

  • After this, the user can click on the "Sale Information" column and enter the relevant details, including sale price, tax type, and minimum stock level for this specific item.

  • The sales information is automatically populated in the sales order form for this specific item when the user select this item.

  • The dashboard displays a minimum stock level alert when an item's stock is low or out of stock.

  • Search item by name or item code.

  • Now the user click on this column icon and can simply select those options which they want to see on inventory form.

2. Item Price Types

This module allows users to define and categorize pricing models such as retail, wholesale, or custom rates—enhancing flexibility in inventory and sales strategies.

  • Create Item Price Type: Add new pricing categories with custom labels.
  • Search by Name: Quickly locate specific price types using the search bar.
  • Sortable Table: Organize price types alphabetically or by usage.

3. Item Price Update

This module allows seamless management of item pricing by updating unit sale and retail prices across inventory records.

  • Import & Export: Bulk update item prices using structured data files.
  • Editable Table: View and modify sale and retail prices directly from the interface.
  • Unit of Measure (UOM): Price updates are linked to specific item units.
  • Search & Filter: Quickly locate items by name for targeted adjustments.
  • Action Buttons: Use “Edit” to update pricing instantly.

4. Item Category

Organize and manage all item categories, associating each with specific asset, COGS, and revenue accounts—streamlining inventory and financial management.

Category-Level Configuration

This module allows users to define item categories and link them to relevant financial accounts. Each category includes:

  • Inventory Asset Account – Tracks the value of items held in stock.
  • COGS Account – Records the cost of goods sold when items are issued.
  • Revenue Account – Captures income generated from item sales.
  • System Association – Indicates the ERP system (e.g., Axon ERP).
  • Is Group – Specifies whether the category is a parent group or standalone.

Inventory Configuration Insights

  • Proper account mapping ensures accurate journal entries during sales and stock movements.
  • Is Group: No indicates all categories are standalone, not hierarchical.
  • Categories like “GST on Purchase” suggest tax-specific classification for compliance.

  • Use this module to standardize item classification across departments.

5. Item UOM

Item unit of measure (UOM) module configures and manages standardized UOMs—supporting inventory precision and conversion consistency.

Units of Measure

This module allows users to define and maintain units of measure (UOM) for inventory tracking and transactions. Each UOM records:

  • UOM Name – The standardized unit description (e.g., “Bag”)
  • Symbol or Multiplier – Represents the unit size or multiplier (e.g., “1500ml * 6”)
  • Creation Date – Indicates when the UOM entry was added to the system

Precision Configuration Insights

  • Standardizing UOMs ensures consistency across sales, purchasing, and stock management.
  • Entries like “1500ml * 6” represent bundled or case quantities for products.
  • Tracking creation dates helps monitor new UOM additions and system updates.

Field-Level Application Guide

  • Use this module to align UOM standards with product characteristics and packaging.
  • Ideal for inventory managers, procurement teams, and ERP administrators.
  • Supports accurate inventory valuation, order processing, and unit conversions.
  • Ensure UOM descriptions and multipliers match physical stock attributes.

6. Warehouse

Warehouse module configures and manages storage locations and details—enabling efficient inventory control and logistics management.

Warehouse Configuration

This module allows users to define and manage warehouse entries, each linked to a company and location. It supports:

  • Warehouse Name – Identifier for the storage location (e.g., “Main Store”)
  • Warehouse Code – Unique code for system tracking (e.g., “WA-001”)
  • Company Association – Links the warehouse to a specific business entity
  • Address – Physical location of the warehouse for dispatch and receiving

Storage Management

  • Unique warehouse codes ensure traceability across inventory transactions.
  • Address fields support logistics planning and delivery coordination.
  • Company linkage enables multi-branch inventory segregation.

Location Setup Guidance

  • Use this module to register all physical and virtual storage points.
  • Ideal for inventory managers, supply chain teams, and ERP admins.
  • Supports stock transfers, warehouse-level reporting, and audit readiness.
  • Ensure warehouse codes and names follow a consistent naming convention.

7. Update Backdate Transactions

This module ensures financial record accuracy by allowing users to log and manage transactions from prior periods, maintaining audit integrity and compliance.

  • Create Custom Entry: Add backdated transactions manually for correction or reconciliation.
  • Refresh Button: Reloads the transaction log to reflect the latest updates.
  • Search Bar: Quickly locate specific entries by date or status.
  • Action Controls: Edit or manage historical entries for accuracy and traceability.
